Artificial intelligence

Property management powered by AI

This is not a chatbot bolted onto an old program. In FixrOS the AI lives inside every module and works on each community's real data: it reads the invoice and books it, understands the incident and triages it, drafts the notice and closes the minutes. The system does the repetitive part; the decisions stay yours.

The approach

What AI-powered property management means

AI-powered property management is not a firm that has added an artificial-intelligence tool to its routine. It is a firm whose working system executes by itself the tasks that used to fill most of the day, leaving people only what genuinely requires judgement: negotiating with a contractor, explaining a levy at a difficult meeting, deciding whether to fight or accept a claim.

The distinction matters because the sector is full of products that have added a chat alongside the program. A chat on the side forces copy-and-paste: you explain the context it does not have, you ask for some text and you paste it back into the system. That does not save work, it displaces it. The AI that genuinely saves time is the one that already knows that community's balance, that incident's history and those owners' coefficients, because it lives inside the same system that stores them.

That is the FixrOS approach, and it follows directly from being the operating system for horizontal property: because every actor in the building and all of its data sit in the same place, the AI can act on the whole rather than on a fragment.

What the operating system for horizontal property is

Module by module

Exactly what the AI does in each part of the job

Accounting: the invoice books itself

The contractor's PDF arrives and the AI reads it: it extracts the issuer, the net amount, the taxes and the description, proposes the entry in the right account group and links it to the correct community and property. Bank reconciliation matches itself against receipts and invoices, and only what genuinely does not reconcile reaches a person.

Meetings: from notice to signed minutes

You say what needs deciding and it composes the agenda with the precision each type of resolution requires, flagging any item that needs a special majority and is not properly worded. During the meeting, counting runs by coefficient and by number of owners at once. On closing, the minutes are already drafted with attendees, proxies, resolutions and the outcome of each vote.

Incidents: the resident describes, the system understands

No forms with twenty dropdowns. The owner writes in plain language in the app, attaches a photo, and the AI infers the type of fault, its urgency, the trade required and whether it affects a common or private element. Urgent work rises to the top of the queue on its own; routine work waits its turn with nobody prioritising by hand.

Claims: the file assembles itself

Photos, the description of the damage and the policy details organise themselves into the file with the structure the insurer expects, and the status updates with what the broker and adjuster do. The system tells you when it is your move, instead of forcing a phone call to ask how it is going.

Communications: the awkward circular, already written

Arrears, disruptive works, house rules or a fee increase: the texts that are hardest to write come out in seconds, firm and without anyone feeling singled out. And the questions that keep repeating — what is my fee, when is the meeting, what do the pool rules say — answer themselves with that community's real data.

Portfolio: questions instead of searches

Instead of remembering which folder something was in, you ask: what is this community's balance, what was agreed about the façade two years ago, which communities have a policy about to expire. The system answers with the figure, not with a list of documents where it might be.

Control

What the FixrOS AI does not do

This deserves saying as plainly as the rest, because property management involves decisions with legal and financial consequences that should not be automated.

It does not approve resolutions for anyone

Resolutions are passed by the owners' meeting with the majorities the law requires. The system prepares, validates and documents the process, but it does not vote and does not replace the community's will.

It does not give legal advice

It applies the Horizontal Property Law to the system's processes — deadlines, quorums, majorities, minutes — but a dispute between owners or a challenge to a resolution is handled by a legal professional, not by software.

It does not move money on its own

It proposes entries, prepares direct-debit runs and spots mismatches, but payment and accounting approval still require validation by the responsible person.

It does not mix data between communities

Each community is a sealed compartment. The AI works with the context of the community you are in, and each profile sees strictly what their role entitles them to.

FAQ

FAQs about AI in property management

How is this different from adding ChatGPT to my current program?+

A general-purpose chat does not know your communities. You have to explain the context every time, paste the result back into your program and check it by hand. The FixrOS AI lives inside the modules and already knows the balance, the history, the coefficients and the contracts, so it acts on real data instead of on what you retype for it.

Does it work for a small firm, or only for large portfolios?+

It works from a single community upwards. In fact the smaller the team, the more visible the effect: the repetitive work does not scale with headcount, so removing it frees proportionally more time in a small firm than in a large one.

What happens if the AI gets something wrong?+

Nothing is applied without a person confirming it in anything with legal or financial consequences: accounting entries are proposed, not posted; minutes are drafted, not signed; payments are prepared, not executed. What the AI removes is the typing, not the supervision.

Do residents notice the AI?+

They notice the result rather than the mechanism: they describe an incident in plain language instead of filling in a form, they get an answer to a routine question straight away instead of waiting for office hours, and the minutes arrive the same day rather than three weeks later.

How much time does it actually save?+

It depends on the portfolio and how much of the work is currently manual, but the effect concentrates in five places: booking invoices, triaging incidents, drafting circulars, preparing meetings and writing minutes. Those are precisely the tasks that fill a working day without ever being billed.

Where does the AI take the community's data from?+

From the community itself, inside FixrOS: its accounts, its incidents, its documents and its resolutions. Each community is a sealed compartment and every profile sees strictly what their role entitles them to.
