Communities + Portfolio

Community and rental management software, in a single system.

For firms that manage communities of owners and also handle their clients’ lettings. FixrOS joins the Communities and Portfolio modules: every owner exists only once, community and rent bills come from the same place and every client has a single portal.

  • One owner, one record
  • Community and rent bills
  • One portal per client
One firm, two businesses

What changes when communities and rentals live in the same system.

Communities and Portfolio are FixrOS modules sold separately that share data, app and portals.

One owner, one record

The community member who also trusts you with their letting is not set up twice.

Bills on both sides

Community fees and rents by SEPA, with the firm’s bank reconciliation in the same panel.

Repairs that reach the right place

The fault a tenant reports goes to the vendor and, if it affects a common area, to the community.

One portal per client

Owners see their community, leases and statements in the same app.

Connected claims

A leak in a let flat can become an insurance claim without leaving the system.

One AI Receptionist for everything

The FixrOS AI Receptionist answers the firm’s calls and emails, whether from residents or tenants.

Same client

The owner who pays the community fee and collects the rent.

An everyday case: an owner has a flat in a community you manage and asks you to let it. In FixrOS it is the same person in both modules: their community fee in Communities, their lease, tenant and statement in Portfolio, and a single login to see it all.

  • Single owner record
  • Leases with cadastral reference
  • PDF statement and SEPA transfer
  • One app login
Collections

Community and rent bills, with the same method.

Community fees and tenants’ rents are issued and collected by SEPA from the same system, and bank reconciliation matches each movement with its bill. Anything unpaid shows up in arrears, whether it is a resident or a tenant.

  • SEPA files for the bank
  • Signed SEPA mandates
  • Bank reconciliation
  • Arrears with history
Repairs

From tenant to vendor, and to the community when needed.

The tenant reports the fault with a photo from their app. If it is inside the flat, you assign it to a vendor and the cost goes to whoever is responsible. If it comes from a common element, such as a downpipe or the roof, it is a matter for the community you also manage, and if there is damage it can become an insurance claim.

  • Faults with photos from the app
  • Vendors and quotes
  • Claims with the insurer
  • Costs recharged to the tenant

Guide

Managing communities and rentals: why one program makes sense.

Two businesses that cross paths every day

In Spain it is very common for a community management firm to end up handling lettings. The owner who already trusts you with their community asks you to find a tenant, collect the rent and settle with them every month. And the other way round: the letting manager with several flats in the same building ends up managing the community.

The problem appears when each business lives in a different program: the same owner set up twice, two sets of bank reconciliation, the tenant’s repair copied by hand into the community and a client getting emails from two systems. FixrOS solves it with modules that share data instead of programs that pass files to each other.

What each module brings

  • Communities, for community management: fees and special levies, each community’s accounts, meetings and minutes, common-area repairs and the resident portal. For city-by-city information, see our property management software hub.
  • Portfolio, for rental management: leases, SEPA rent collection, CPI or IRAV reviews, deposits, arrears, owner statements and draft tax forms to review.
  • Brokerage, if you also sell or let as a real estate agency: listings, demands with automatic matching, viewings, mandates and signed deposits. The tenant you find moves into Portfolio without retyping their details.

Community costs in a lease: what the law says

This is exactly where the two businesses meet. Under article 20.1 of Spain’s Urban Leases Act (LAU), the parties may agree that the building’s general costs that cannot be individualised are paid by the tenant. In a building under horizontal property, they are the costs corresponding to the home according to its participation share; in a building not under horizontal property, community costs cannot be charged to the tenant. The agreement must be in writing and state the annual amount of those costs at the date of the lease, and the home’s taxes cannot be imposed on the tenant unless they are the taxpayer.

When you manage both the community and the letting, you have the participation share and the community’s annual budget at hand to write that clause with real figures, and then recharge the cost on the tenant’s bill. Bear in mind article 20.2 too: in residential lettings, management and contract formalisation costs cannot be passed on to the tenant.

How to tell if it suits you

If you manage communities and handle even a handful of lettings, or the other way round, you are probably already losing time duplicating data. The best way to check is with your own portfolio: in the demo we load a couple of communities and some leases so you can see how each client looks in a single system.

FAQ

Questions about managing communities and rentals in one program

Is there one program for community and rental management?

Yes. FixrOS has a Communities module for community management and a Portfolio module for rental management. They work separately or together, and together they share owners, properties, banks and portals.

Do I have to buy both modules?

No. You can start with one and add the other when you need it, without migrating again. Each module includes a 14-day trial.

Does the owner see their community and their letting in the same app?

Yes. Each client signs in to the FixrOS app with their code and sees what concerns them: their community, leases and statements. Tenants see their bills, lease and repairs.

Can community costs be passed on to the tenant?

Only if agreed in writing in the lease, with the annual amount at the signing date, as article 20.1 of the Urban Leases Act sets out. Under horizontal property they follow the home’s participation share. In Portfolio you record the cost and recharge it on the tenant’s bill.

What if I also sell or let property as an agency?

You add the Brokerage module: listings, demands, viewings, mandates and signed deposits. It works on the same properties and people as Communities and Portfolio.

How much does it cost?

It depends on the modules you choose and the size of your portfolio. We go through it in the demo for your specific case.
