The tech tool that lets your team coordinate claims.
Portfolio, loss adjusters and case files in a platform built for claims handlers. Passwordless magic links, an adjuster marketplace and AI at every step of the case.
Talk to salesHandling claims with email and spreadsheets does not scale anymore
Insurers, mutuals and brokers covering owner-occupied communities still manage claims with legacy tools. Here are the four pain points we hear weekly.
Disjointed adjusters: you never know who is free, who has the case or when they will visit
Case files spread across parallel spreadsheets, with versions scattered between folders and inboxes
Critical communications lost in email threads between handler, adjuster and property manager
Zero portfolio-level visibility: how many cases are open, which are stuck, how much has been approved
Four tools so your team can coordinate at scale
Inbox, case file, adjuster network and marketplace. Designed by handlers, for handlers.
Claims inbox
Your entire portfolio on one screen. Filter by status, community, age and line of business. Each handler sees their own cases, managers see the whole team.
Status, community, assigned adjuster, valuation amount, age. Free search by claim or policy number.
Auto-flags cases with no activity for more than N days. Nothing gets forgotten in a drawer.
Each team member saves their favourite filters: "My urgent open", "Awaiting visit", "Pending report".
One click to export the filtered portfolio. For committee meetings, month-end close, audits.
Case file with full timeline
Creation, adjuster assignment, visit, expert report, vendor quote, approval, work execution and closure. Every milestone with timestamp, author and documents.
Who did what and when. Immutable. Ready for internal or external audits.
Expert report, photos, quotes, invoices, policies. All inside the case file. Goodbye shared folders.
Handler, adjuster and property manager talk inside the case. No side emails. No lost context.
Valuation vs. quote amount. Approve, reject or request adjustment without leaving the case.
Your adjuster network, managed as an asset
Each insurer manages their own network with negotiated rates, exclusivity, favourite adjusters and historical ratings. Exclusive adjusters only work for you; shared adjusters also collaborate with other insurers.
Set hourly, travel and per-claim-type rates. Mark adjusters as exclusive to shield them from competitors.
The system lists available adjusters within X km of the claim. The handler picks and assigns. Less travel, more visits per day.
Each handler rates the adjuster after closing. The average builds an internal ranking; favourites surface first when assigning.
How many active cases each adjuster has right now. Assign without overloading anyone.
Global adjuster marketplace
When you need an adjuster outside your network — by specialty, geography or urgency — FixrOS's global marketplace connects you with hundreds of professionals across Spain.
Water damage, fire, theft, structural, liability. Filter and find the exact specialist.
Green, amber, red. You instantly know who can visit tomorrow and who is booked two weeks out.
Aggregated scores from every insurer that has worked with that adjuster. No opaque filters.
"Exclusive in my network", "Independent", "Also at N other insurers". Informed decision before contacting.
Magic links: the adjuster opens the case without signing up
The handler assigns the adjuster and the system emails a unique link. One click and the adjuster is already inside the case. No passwords, no signup, no friction.
Handler assigns adjuster
Picks the adjuster from the network or marketplace. One click confirms.
Adjuster gets email
Automatic email with the claim context and a unique, signed, expiring link.
Click = signed in
No password, no forms. The adjuster is already inside the case, seeing photos and data.
Uploads report, closes
Uploads photos, writes the report and sets the valuation. The handler gets it instantly.
Every adjuster within reach, one click away
When your own network falls short, the global marketplace has your back. Search by specialty, area and verified rating, with affiliation badges that make it crystal-clear at a glance who you are dealing with.
Exclusive in my network
Adjuster under exclusive contract with you. Does not work for any competitor. Your strategic asset.
Independent
Professional with no insurer affiliation. Available to whoever books first.
Also at N insurers
Already collaborates with other insurers. Useful for volume, but their calendar competes with others.
Exclusive at another insurer
Locked by an exclusivity contract with a competitor. You see them, know they exist, but cannot book them.
Operational KPIs for your claims-handling team
These are not vanity metrics. They are the numbers your claims committee reviews every Monday and that directly impact line-of-business profitability.
Load per adjuster
Active cases per person. Internal ranking to spot overload or underuse.
% approval rate
How many quotes are approved at first pass vs. require adjustment. A quality signal for the adjusting work.
Valuation vs approved
Aggregated delta between what your adjusters value and what you end up paying. Spot systematic biases.
Avg time to close
Days from opening to closing, segmented by line, community and handler. The flagship service metric.
Three roles, distinct permissions
Each person on the insurer team sees and does exactly what their role requires. No more, no less.

Email and Excel vs. Claims Portal
The difference between handling claims by hand and handling them like a software team.
| Aspect | Before (email + spreadsheets) | After (Claims Portal) |
|---|---|---|
| Adjuster onboarding | Phone calls, sending PDFs by email, having the adjuster print and sign. | Magic link in email · adjuster opens the case in one click · no signup, no passwords. |
| Portfolio visibility | A spreadsheet per handler. Manager has no live picture. Reports cobbled together on Friday. | Real-time inbox with filters per status, community and adjuster. Manager sees the whole team at a glance. |
| Communications | Email threads with 12 people in CC. Whoever opens it last loses context. | Per-case chat between handler, adjuster and property manager. Always linked to the right case file. |
| Documents | Folders on a shared drive. Versions duplicated. Photos in WhatsApp, lost forever. | Centralised in the case file. Expert reports, photos, quotes and invoices in one place, ordered by date. |
| Quote approval | Print, sign, scan, email. Quotes in inboxes for days. | One click inside the case file. Auto-comparison against the adjuster valuation. |
| Analytics | No metrics. Or pivot tables built manually each month. | Live KPIs: open cases, average resolution, % approval, valued vs approved amount. |
| Audit trail | Reconstructed from emails when something goes wrong. Sometimes impossible. | Immutable timeline: who did what and when. Always available, always exportable. |
