Property supply and demand matching: every buyer, checked against your whole portfolio.

You record what each client is looking for once, and FixrOS matches it against all your properties, the ones you have now and the ones that come in tomorrow. Send listings by email, see which properties have stalled, and never lose track of a buyer.

  • Sales, lettings, seasonal lets and transfers
  • For one office or several
  • 14-day trial
The problem

A demand you never match is a sale another agency makes.

In most agencies, matching depends on the agent's memory. It works while the portfolio is small and the team stays the same.

Demands in notebooks and spreadsheets

Each agent notes clients their own way. When a new property comes in, nobody goes through the whole list.

Clients who depend on one person

If the agent goes on holiday or leaves the agency, their buyers are left unattended.

Properties that go stale

A flat with no viewings for months loses credibility with the owner and the market, and nobody notices in time.

Listings sent by hand

Copying photos and details into an email for each buyer eats up the afternoon and leaves no record of what was sent.

How FixrOS does it

A real estate CRM with matching that works even when nobody remembers.

Demands

Every demand is matched against the whole portfolio, not against what you remember.

The demand captures what the client wants: type of deal, property type, area, price and features. FixrOS compares it with every property in the agency, across all offices, and suggests the ones that fit. When you add a new property, matching also runs the other way: you see which buyers in your database might be interested.

  • Sales, lettings, seasonal lets and transfers
  • Matching across the whole portfolio and every office
  • From the property to its likely buyers, and the other way round
  • Every demand assigned to an agent
Listings by email

Send listings to buyers without copying and pasting.

From the match list you pick the properties and email them to the buyer with their listing sheet: photos, price and key details. The send is recorded on the contact, so any colleague knows what was sent and when, and nobody sends the same flat twice.

  • Property sheet by email
  • Send history on every contact
  • From the listing to the viewing in the calendar
Price review

Stalled properties surface before they go stale.

FixrOS flags properties that have sat in your portfolio without moving, so you can review the price with the owner. You go into that conversation with your own agency's data: how many listings were sent, how many viewings it had and how many buyers match it.

  • Alerts for properties with no activity
  • Sends and viewings for each property
  • Re-run matching against demands after adjusting the price
From contact to viewing

This is how a buyer is handled in FixrOS.

The contact comes in

You add them when they call, write or walk into the office, or bring them over when importing from your previous software.

You record their demand

Deal type, area, price and features, assigned to an agent and an office.

FixrOS matches

Against today's portfolio and every property that comes in later.

Listings and viewing

You email the listings and the viewing goes into the calendar with its viewing sheet.

Practical guide

How to work buyer demand in a real estate agency

What is supply and demand matching?

In a real estate agency, supply is the properties in your portfolio and demand is the people looking to buy, rent or take over something specific. Matching them means checking, systematically, which properties fit which buyers. It sounds obvious, but in practice matching is done from memory, when an agent happens to remember that «the lady from the other day might like this flat».

Good matching works both ways. When a new demand comes in, it checks the whole portfolio. When a new property comes in, or drops in price, it checks every open demand. If you only do the first, older buyers are forgotten; if you only do the second, new ones wait until something comes in.

What to record in a demand

The quality of matching depends on what you record. A demand that only says «flat in the centre» fits half the portfolio and is useless; one that is too narrow fits nothing. These are the details worth asking for in the first conversation:

  • Deal type: purchase, long-term let, seasonal let or business transfer.
  • Area: acceptable neighbourhoods or towns, not just the favourite one.
  • Price range and, for purchases, whether they need a mortgage.
  • Must-haves: bedrooms, bathrooms, floor area, lift, parking, terrace.
  • Timing: when they want to move in or sign.

When to review the price of a stalled property

A property that gets no viewings almost always has one of three problems: price, photos or exposure. Matching helps you tell them apart. If many buyers fit on area and features but none asks for a viewing, the issue is usually price. If hardly any buyers fit, the property may need more exposure or a better listing.

With that data, the conversation with the owner changes: it is no longer the agent's opinion, it is what has happened to their home over the past weeks. And if you have a signed listing agreement with an expiry date, the price review is a good time to talk about renewing it.

Contacts that don't get lost along the way

A buyer may come in by phone, by email, because they walked into the office after seeing the digital property window, or because they saw a sign on a balcony. The channel doesn't matter: what matters is that they end up in Contacts with their demand, assigned to an agent. If you are coming from other software, FixrOS includes import so you can bring your contacts and demands without starting from scratch.

If your agency also manages rentals

Many agencies let a flat and then take on its management: rent collection, receipts, owner statements. In FixrOS that is the Portfolio module, which works on the same properties and the same people as Brokerage. The tenant you found through a match becomes a tenant under management without retyping their details.

FAQ

Questions about supply and demand matching

What is a real estate CRM with matching?

It is software that stores your contacts, their demands and your properties, and automatically compares them to suggest what to show each client. In FixrOS it is part of the Brokerage module, along with the viewing calendar, mandates and deposit documents.

How does a real estate agency match supply and demand?

By recording each demand with deal type, area, price and features, and comparing it with every property in the portfolio. With FixrOS the comparison runs by itself when a demand comes in and when a property is added or changes, and you decide who gets each listing.

Does matching work across several offices?

Yes. Demands are matched against the whole agency's portfolio, and per-office permissions decide what each agent can see and manage.

Can I email property listings from FixrOS?

Yes. From the match list you pick the properties and send them to the buyer with their listing sheet. The send is saved on their contact.

Can I bring my buyers over from another program?

Yes. FixrOS includes import from other software so you do not start from scratch. In the demo we review your data with you and how to bring it over.

How much does the Brokerage module cost?

It depends on the size of your agency and the modules you use. We explain it in a demo with your own portfolio, and you can try Brokerage for 14 days.
