Tenant and owner portal: everyone sees their own, without calling the office

Receipts, lease, deposit and notices for the tenant; properties, rents and statements for the owner. It all comes from the same data you work with in the FixrOS Portfolio module, on the web and in the iOS and Android app.

  • iOS and Android app
  • Personal access code
  • Repairs with photos and tracking
The problem

The calls that eat a rental manager’s morning.

Almost all of them ask for something you already have. The portal gives it to each person without you having to look it up.

"Can you send me the receipt?"

For a tax return, a rent subsidy or the bank.

"The boiler’s broken"

Then three more calls to find out when the technician is coming.

"Has the tenant paid?"

The owner wants to know before the statement arrives.

"Why is my rent going up?"

A clear notice, with the index and the date, avoids the argument.

How FixrOS does it

Two portals and one app, connected to your panel.

Tenant

Tenants have their rental on their phone.

From the portal or app, tenants check their receipts and statement, download the lease, see the deposit they paid and receive notices from the office, such as the annual rent review with its effective date. What they see is what is in the Portfolio module: if a receipt is collected, it shows as paid.

  • Receipts and tenant statement
  • Lease and deposit at hand
  • Rent-rise notice
Repairs

Repairs with photos that reach the right contractor.

The tenant describes the problem and attaches photos from their phone. The incident lands in your panel with the property and lease already identified; you assign it to a contractor in the ecosystem and the tenant can see its status. If it is an insurance claim, it moves to the insurer without retyping everything.

  • Photos from the phone
  • Status visible to the tenant
  • Linked to contractors and claims
Owner

Owners see their properties without asking you for a report.

Each owner logs into their portal or the app and sees their properties, current leases, rents collected and outstanding, open incidents and their statements as PDFs. The information is the same you use to settle accounts, so there are never two versions of the numbers.

  • Properties and current leases
  • Rents collected and outstanding
  • Statements as PDF

Practical guide

What a good tenant and owner portal should have.

Receipts, itemised as the law requires

Article 17.4 of Spain’s Urban Leases Act requires the landlord to provide a receipt for payment, unless a payment method that already proves it has been agreed, and requires the receipt or replacement document to list each charge separately and, specifically, the current rent. A portal showing every receipt itemised, with its payment status, does that job without the office sending anything by hand.

Messages that leave a record

The same Act lets the parties designate an email address for the notifications it provides for, provided the authenticity of the message and its content is guaranteed and there is verifiable proof of sending, receipt and timing (article 4.6). The portal is there to inform and to give the tenant everything at hand; for notifications with legal effect, such as a payment demand, keep using the verifiable method your lawyer recommends.

Each person, only their own data

A rental portal handles personal and financial data. The General Data Protection Regulation requires processing only the data needed, with appropriate security measures. In FixrOS, each tenant and each owner logs in with their own access code and sees only what concerns them: tenants, their lease and receipts; owners, their properties and statements. Nobody sees another tenant’s or owner’s data.

How to give a tenant or owner access

Access comes from the data you already have in the Portfolio module. The usual process is:

  1. You create or import the lease with its tenants and owner.
  2. Each person receives their personal access code.
  3. They log in on the web or download the iOS or Android app.
  4. From then on, they see up-to-date what you record in the panel.

FAQ

Tenant and owner portal: common questions.

What is a tenant portal?

It is private access, on the web or in an app, where the tenant checks their receipts, lease, deposit and notices from the manager, and reports repairs with photos and tracking.

Is there an app for tenants and owners?

Yes. The FixrOS app is available on iOS and Android, and each person sees what corresponds to their role: tenant or owner.

What does the owner see in their portal?

Their properties, current leases, rents collected and outstanding, incidents in their properties and their statements as PDFs.

How does the tenant log in?

With their own access code, which they receive when the office sets them up. They can log in on the web or in the app.

Can a tenant see other people’s data?

No. Each tenant sees only their own lease and receipts, and each owner only their own properties and statements.

How much does the portal cost?

The tenant and owner portals are part of the Portfolio module. The price depends on your portfolio; we’ll tell you in a demo, and you can try the module for 14 days.
